This Customer Service Position requires excellent oral, written, and verbal language skills.
Obtains necessary information and documents accurately.
Processes new patients, patient referrals, and reorders.
Schedules orders electronically, accurately.
Obtains and submits paperwork for PA submission in the Medical Device Department.
Submits documentation to appropriate agencies.
Verifies insurance for patients.
Documents completely and accurately in the company electronic medical record system.
Communicates effectively with customers, employees, referral sources, insurance agencies, and others visiting our office.
Assists, as requested, in work-related activities to assure the work of the organization is accomplished in a timely, efficient, confidential, and compliant manner.
Accurately and effectively communicates with all contacts, including but not limited to employees, co-workers, referral sources, providers, site visitors, insurance agencies, and management team.
Assists customer service representatives as needed.
CSS team members may be asked to work in different departments and have primary job responsibilities that vary.
ESSENTIAL FUNCTIONS Processes new and existing patient orders.
Documents fully and accurately in the electronic medical record system and in all hard copy or faxed documents.
Obtains and submits paperwork for PAs as needed.
Collaborates and communicates well with employees and management team.
Verifies insurance.
Processes orders accurately.
Schedules orders for delivery or return.
Makes changes on the patient's template correctly as needed.
Assists with adding or canceling patients as requested.
Fills out order forms, determines charges and coverage for service requested, collects co-pays, and inserts data into information system.
Demonstrates detail oriented work and documents completely, accurately, and in a timely manner in the company's electronic medical record system.
Promotes a positive work environment.
Processes new patients, patient referrals, and reorders Learns and interacts with company text and software programs and electronic programs as needed.
Effectively utilizes electronic meeting programs to interact with other locations.
Communicates well, friendly, and accurately with other employees, management team members, customers, and referral sources by phone, in-person, or electronically through the approved compliant encrypted system.
Participates in all levels of customer service activities of the organization.
Strong knowledge in the medical/financial industry Participates in electronic scanning and filing of patient records in the appropriate file.
Participates in retrieval of all required documents.
Electronically files and creates patient's records.
Talks with customers and coordinates the correction of any complaint and ensures service recovery.
Tracks invoices and documents patients' receipt of product and signature on delivery.
Participates in compliance and Improvement of Operational Performance (IOP) activities.
Participates in traditional and e-learning programs for continuing education.
Understands medical terminology, especially as it relates to Diabetes.
Participates in and has full knowledge of the patient intake process.
Works effectively with other company employees, managers, departments, customers, and referring offices.
Performs all job functions with Company Mission, Vision, and Goal Statements in mind.
Assists as needed in the general operations of the company as requested.
Reports to Manager as listed on the company organizational chart.
JOB REQUIREMENTS AND QUALIFICATIONS Education, Certificate, and Licensure High school diploma or general education degree (GED); three to six months industry related work experience and/or training; or equivalent combination of education and experience.
No professional certificate or licensure required, although preferred.
Math Ability Must demonstrate proficient ability to apply mathematical concepts such as basic algebra and geometry to such tasks as calculating figures and amounts, discounts, interest, commissions, proportions, percentages, area, circumference, and volume to practical situations.
Requirements Must demonstrate practical knowledge of computers and software applicable to the industry.
Must be able to effectively utilize electronic meeting rooms (such as Go-To-Meeting, Microsoft Teams, or Zoom).
Must be proficient in the use of Word and Excel.
Additionally, the applicant is expected to demonstrate the ability to quickly acquire knowledge of departmental program structure (Mission, Vision, and Goal Statements) and department policies and procedures.
STRONG Organizational skills required.
Must have the ability to demonstrate effective time management skills while working independently with minimal supervision.
Must have excellent communication skills.
Must be proficient in the English language (verbal and written).
Must demonstrate a friendly attitude towards customers, co-workers, management team members, and community or organizational site visitors.
Supervisory Requirements Supervises and trains any member of the customer service team and other associate as requested.
Supervises employees as outlined in the organizational chart.
Serves as a person in charge as outlined in the organizational chart.
Language and Communication Ability Must demonstrate proficient ability to foster professional working relationships utilizing strong interpersonal and communication skills organization-wide.
Applicant must demonstrate the ability to read, analyze, and interpret governmental regulations and medical documentation, effectively present and document information completely and accurately.
Must be able to communicate accurately and effectively with site visitors from Medicare, Medicaid, the Board of Pharmacy, and other site visitors.
Additionally, the applicant must know medical terminology, demonstrate the ability to write reports, communicate effectively utilizing an electronic platform and software, and be able to read and follow company policies and procedures.
Physical Demands Must demonstrate the ability to work in a standard office setting and use standard office equipment, which may include but is not limited to computers, fax and copy machines, electronic software, and other office supplies.
Requires stamina to maintain attention to detail despite interruptions; strength to lift and carry files weighing up to 10 pounds; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the phone; manual dexterity to perform job functions and stamina to frequently sit for extended periods of time.
Additionally, the employee is occasionally required to walk and lift and/or move up to 50 pounds.
Reasoning Ability Must demonstrate proficient ability to understand, interpret, and apply an extensive array of complex instruction and information.
Must be able to collect and interpret factual data to produce logical solutions and/or conclusions.
Technology Skills The applicant must demonstrate the ability to learn quickly and proficiently to use company specific software programs and any other handheld or technological tools as required for completing job responsibilities and essential functions.
Must demonstrate proficient ability and practical knowledge of the use of a personal computer use, Word , Excel , Electronic Medical Record software, electronic fax systems, and other electronic software programs utilized by the company.
OTHER INFORMATION Must demonstrate proficiency and productivity in a fast-paced environment with unscheduled interruptions while maintaining acceptable judgment, responsibility, and assumption for decisions, consequences, and results.
Applicant must demonstrate good organization, time management, and communication skills and be able to work independently with assistance as needed.
